Refund Policy

Last Updated: 18/10/2026

At Acevista, our services are designed to help businesses build a more predictable pipeline of qualified conversations through targeted outbound prospecting and lead generation.

Our commercial model is intended to connect payment to agreed performance outcomes rather than relying solely on recurring monthly retainers.

Because our services involve customized research, campaign preparation, outreach infrastructure, and ongoing work, refund eligibility depends on the service purchased, the work performed, the agreed commercial terms, and applicable law.

This Refund Policy explains how cancellations, disputed charges, and refund requests are handled.

The specific payment and refund terms in your signed service agreement take precedence where they validly establish different terms for your engagement. Nothing in this policy removes rights that cannot legally be excluded.

1. Scope of This Policy

This policy applies to payments made directly to Acevista for its services, unless a separate written agreement or mandatory legal requirement provides otherwise.

It covers:

  • Performance-based lead generation engagements.

  • Agreed campaign setup or infrastructure fees.

  • Other separately priced services.

  • Refund requests.

  • Payment disputes.

  • Cancellations and termination-related adjustments.

It does not automatically govern payments made directly to independent third-party providers under their own agreements.

2. Understanding Acevista's Commercial Model

Acevista's standard positioning is based on a performance-oriented commercial model rather than a conventional recurring monthly retainer.

However, not every engagement necessarily has identical payment terms.

Before an engagement begins, Acevista and the client should document the agreed pricing structure, including:

  • The event that triggers payment.

  • The definition of a qualified conversation or opportunity.

  • The applicable fee or pricing formula.

  • Whether any setup or infrastructure fee applies.

  • Any minimum commitment or upfront payment.

  • Payment deadlines.

  • The applicable cancellation terms.

  • The circumstances in which refunds may be available.

Clients should review these terms carefully before authorizing payment.

Acevista will not rely solely on a general website description to establish a payment obligation that has not otherwise been communicated and accepted.

3. Are Payments Refundable?

Refund eligibility depends on the nature of the payment, the applicable service agreement, the work performed, and the circumstances of the request.

Acevista does not promise that every payment is refundable, nor does it claim that all payments are automatically non-refundable.

The following principles apply, subject to the written agreement and applicable law.

3.1 Fees for Qualified Opportunities

Where a fee is charged for a qualified conversation, meeting, or opportunity, the relevant service agreement should define the conditions under which that fee becomes payable.

If a client believes that a charged opportunity does not meet the agreed qualification criteria, the client may submit a dispute for review.

Acevista will assess the dispute against the documented qualification requirements and available campaign records.

Where a fee was charged in error or the agreed qualification requirements were not met, the parties will apply the correction, credit, refund, or other remedy specified in the service agreement and required by applicable law.

A prospect failing to complete a transaction, ultimately declining an offer, or not converting into a mandate does not automatically establish that the original conversation was unqualified.

3.2 Campaign Setup and Infrastructure Fees

Certain engagements may involve setup work, such as:

  • Outreach domain configuration.

  • Mailbox setup.

  • Infrastructure preparation.

  • Email warmup.

  • Prospect research.

  • Target-list development.

  • Campaign strategy.

  • Messaging development.

If a separate setup fee is agreed, its amount and refund conditions should be disclosed before payment.

Where work has already been performed, any refund assessment may take into account the agreed scope, work completed, and applicable contractual terms.

Any non-refundable portion of a setup fee must be clearly disclosed and agreed upon in advance, subject to applicable law.

If Acevista fails to deliver an agreed service, any refund or other remedy will be determined by the applicable agreement and mandatory legal requirements.

3.3 Prepaid Fees

If an engagement involves advance payment for future services, the agreement should explain how unused amounts are treated if the engagement ends early.

Where a refund is due for undelivered services, the amount will be calculated according to the agreed terms and applicable law.

Acevista will not treat an advance payment as automatically earned merely because it has been received.

3.4 Incorrect or Duplicate Charges

If you believe you have been charged incorrectly or charged more than once for the same obligation, contact Acevista with the relevant payment details.

We will investigate the issue and, where an error is confirmed, arrange an appropriate correction or refund.

4. Cancellation Policy

Acevista aims to avoid the restrictive, long-term retainer arrangements commonly associated with traditional lead generation agencies.

However, the absence of a recurring monthly retainer does not automatically mean that every engagement can be terminated immediately without financial consequences.

The applicable service agreement determines the cancellation procedure.

Unless otherwise agreed in writing, clients should submit cancellation requests by email and include:

  • Their name and company.

  • The relevant service agreement or engagement reference.

  • The requested cancellation date.

  • Any outstanding questions concerning payments or ongoing work.

Acevista will acknowledge the request and confirm the applicable termination terms.

4.1 Cancellation Before Campaign Launch

If a client cancels before the campaign launches, refund eligibility will depend on the agreed cancellation terms and the work already completed.

For example, relevant work may include prospect research, infrastructure preparation, domain configuration, mailbox setup, campaign strategy, or messaging development.

Any amount retained for work performed or costs incurred must be consistent with the agreed terms and applicable law.

4.2 Cancellation After Campaign Launch

If a client cancels after the campaign has launched, fees already earned under the agreed performance model remain subject to the service agreement.

Cancellation does not automatically invalidate a payment obligation that arose before termination.

Any remaining prepaid amounts, future obligations, or outstanding fees will be handled according to the applicable agreement and legal requirements.

4.3 Cancellation by Acevista

If Acevista terminates an engagement before completing agreed services, the parties will determine any outstanding obligations and applicable refunds according to the service agreement and applicable law.

Where a refund is due for services not delivered, Acevista will calculate the amount based on the relevant contractual terms and the circumstances of the termination.

5. No Automatic Refund for Lack of a Completed Transaction

Acevista's services focus on initiating relevant conversations and helping clients identify potential opportunities.

A qualified conversation does not guarantee:

  • A signed advisory mandate.

  • A completed acquisition.

  • A successful investment.

  • A closed transaction.

  • A specific amount of revenue.

  • A particular return on investment.

Unless a written agreement expressly establishes a different performance commitment, a prospect's failure to convert into a transaction does not automatically entitle the client to a refund for a conversation that satisfied the agreed qualification criteria.

This distinction exists because the commercial outcome depends on factors beyond the initial outreach, including the prospect's intentions, market conditions, due diligence, negotiations, and the client's own sales or transaction process.

6. When a Refund May Be Appropriate

Depending on the applicable agreement and law, a refund or other remedy may be appropriate where:

  • A payment was collected in error.

  • The same amount was charged more than once.

  • A fee was charged for an opportunity that did not meet the expressly agreed qualification criteria.

  • Acevista materially failed to deliver a service for which payment was collected.

  • A refund is expressly provided for under the service agreement.

  • A refund is required under applicable law.

  • Acevista otherwise agrees in writing to issue a refund.

Each request will be assessed on its individual circumstances.

7. Situations That Do Not Automatically Qualify for a Refund

Subject to the service agreement and applicable law, the following circumstances do not automatically establish a right to a refund:

  • A qualified prospect declines to proceed with a transaction.

  • A business owner decides not to sell their business.

  • A prospect does not meet expectations that were not included in the agreed qualification criteria.

  • A client changes its acquisition criteria after a campaign has launched.

  • A client fails to follow up promptly on an opportunity.

  • A client decides not to use an otherwise properly delivered service.

  • A transaction does not close despite a relevant conversation taking place.

  • Campaign performance differs from an estimate that was not expressly guaranteed.

These examples do not override any contractual refund commitment or mandatory legal right.

8. How to Request a Refund

To request a refund, contact Acevista using the details below.

Email: [Insert Billing or Support Email]

Include the following information where applicable:

  1. Your name and company.

  2. The relevant service agreement or invoice number.

  3. The payment date and amount.

  4. The reason for the refund request.

  5. Supporting information, such as a disputed opportunity record or payment receipt.

For disputes involving qualified conversations, identify the relevant opportunity and explain which agreed qualification requirement you believe was not met.

Providing this information helps us review the request efficiently.

Please do not send full payment card details or passwords by email.

9. Refund Review Process

After receiving a refund request, Acevista will review the information provided and may request additional details where reasonably necessary.

Our review may consider:

  • The written service agreement.

  • The agreed qualification criteria.

  • The relevant invoice and payment record.

  • The campaign activity associated with the request.

  • Work already performed.

  • Any applicable cancellation provisions.

  • Relevant communications between the parties.

  • Applicable legal requirements.

We aim to respond within 10 business days of receiving the information reasonably necessary to assess the request.

This is a proposed service standard and should be confirmed before publication. Where applicable law requires a faster response or refund, the legal deadline will apply.

If a refund is approved, Acevista will confirm the amount and expected processing method.

If a request is denied, we will provide an explanation where appropriate and legally required.

10. Refund Processing

Approved refunds will generally be returned through the original payment method where reasonably possible.

If the original payment method is unavailable, Acevista may arrange another mutually acceptable method, subject to appropriate verification and applicable law.

The time required for the funds to appear in your account may depend on the payment provider, bank, and payment method.

Acevista cannot guarantee the processing time of an independent financial institution.

Any mandatory statutory refund deadline will take precedence over the general processing expectations described here.

11. Payment Disputes and Chargebacks

If you believe a payment is incorrect, please contact Acevista before initiating a payment dispute where reasonably practicable.

We will review the issue and seek to resolve legitimate billing errors promptly.

Nothing in this policy prevents you from exercising rights available through your payment provider or under applicable law.

Clients should not knowingly submit false or misleading payment disputes.

Similarly, Acevista will not misrepresent the nature of a transaction or improperly interfere with a customer's lawful payment-dispute rights.

12. Third-Party Costs

Some engagements may involve third-party services, including domain registration, email infrastructure, software subscriptions, or other tools.

Responsibility for these costs must be established in the applicable service agreement.

If third-party charges are incurred in the client's name or paid directly by the client, refund eligibility may be governed by the relevant provider's terms.

Where Acevista incurs third-party costs on behalf of a client, the treatment of those costs upon cancellation should be disclosed in the agreement before they are incurred.

Acevista cannot guarantee that an independent third-party provider will refund a charge.

13. Changes to This Refund Policy

Acevista may update this policy to reflect changes in its services, commercial arrangements, or legal obligations.

The current version will be published on this page with an updated revision date.

Updates will not automatically remove refund rights already established under a signed service agreement or applicable law.
